I- Summary of key functions/accountabilities:

1. Monitor open requisition against supply plan for adherence, updating workload monitoring report , key performance indicators data, review work process for update, prepare monitoring report and maintain all manual registers of supply invoices and low value POs. Assist in contracts drafting and monitoring payment and timely closure;

2. Support sourcing process, drafting of tender documents, requests for expression of interest to identify potential suppliers; Request for quotation, invitation to bid, and request for proposal and coordinates meeting of the tender committee by arranging for suitable dates and rooms and by preparing and distributing files containing the cases to be presented;

3. Monitor contracts/LTAs?POs for payment and closure . Review quality of goods and services through inspection reports finding, evaluation reports, end user monitoring reports and collate feedback requiring action;

4. Manage and review supplier database for updates and grouping by commodity. Monitor suppliers compliance to delivery times as per UNICEF terms, draft evaluation of suppliers with respect to delivery performance and recommendation observed for corrective action;

5. Maintains filing of record documents in the supply section unit. Performs any duties in support of procurement monitoring as assigned by supervisor.

II- Education

Completion of secondary school education is required , with courses/certificates in business administration, supply chain management, procurement or logistics considered as an advantage.

III- Experience

Minimum 5 years of progressively responsible administrative and / or supply related work experience (Procurement, supply or logistics) is required; Familiarity with UNICEF, UN supply procedures and systems is asset. Good computer skills especially in Excel. Knowledge of SAP as added advantage.

IV- Language Requirements

Fluency in French and good working level of English and local language of the duty station required.
